Facilities

Facilities let you offer structured, bookable services to guests directly through the chat interface. Whether you’re running a hotel shuttle, a cooking class, or an on-demand housekeeping request, Facilities gives you a consistent way to manage capacity, schedules, and bookings in one place.

What Is a Facility?

A facility is any service or resource that guests can book or request. Each facility has:

  • A name and optional description
  • A type (predefined preset or fully custom)
  • A slot mode that controls how bookings are managed
  • One or more items (the actual vehicles, classes, or time slots)
  • Optional links to specific locations and a service center

Facility Types

When creating a facility, you can choose from several built-in types or define a completely custom one. The type pre-fills sensible defaults for slot mode and capacity unit, and defines which details staff fill in per item.

Choosing a preset does not lock you in — you can change the Slot Mode and Capacity Unit after selecting a type.

Slot Modes

The slot mode controls how availability and booking capacity work for this facility.

Slot ModeHow it works
Fixed ScheduleRuns at fixed departure/session times (e.g. a bus leaving at 9:00 and 14:00). Staff create time slots with a specific capacity. Guests choose a slot and reserve a seat.
AppointmentGuest picks a specific date and time. Suitable for classes or sessions where exact timing matters.
On-demand SlotSlots are available on a rolling basis. Similar to schedule mode but without fixed departure times.
Request (No Slot)No capacity tracking — guest submits a request and staff respond. Best for maintenance calls, housekeeping, or buggy pickups.

Creating a Facility

  1. Go to Facilities in the sidebar.
  2. Click Add Facility.
  3. Fill in the details (see field reference below).
  4. Click Save.

Field Reference

Name (required) — The facility name as it will appear to guests (e.g. Hotel Shuttle, Morning Yoga).

Type — Select a preset or choose Custom. Presets auto-fill Slot Mode and Capacity Unit. Custom facilities let you define your own item fields.

Slot Mode — How booking availability is managed. See table above.

Capacity Unit — The label for your unit of capacity (Seats, Guests, Persons, Students, Spots). This is shown on the booking form so guests understand what they’re reserving.

Custom Fields (Custom type only) — Define extra fields that staff fill in for each item. For example: License Plate (text), Capacity (number), Notes (long text). Each field can be marked as required.

Requires Location — When enabled, guests see Pickup and Drop-off location pickers on the booking form. Enable this for transport services like buggies or shuttles. You can also restrict which locations are valid pickup/drop-off points.

Description — Optional text shown to guests when they view the facility.

Icon — Choose an icon from the built-in set to represent this facility visually. If left blank, the icon is determined automatically by type.

Image — Upload a cover photo for this facility.

Locations — Associate this facility with specific physical locations in your property. If left empty, the facility is available property-wide.

Service Center — Assign this facility to a specific service center (division) so that booking notifications and conversations are routed to the right team.

Status — Set to Active to make the facility available, or Inactive to hide it without deleting.

Advanced Settings — Items and Slots

Once a facility is saved, go to ⋯ → Advanced Settings to manage its items and availability slots.

Items

An item is the specific resource being booked — for example, a specific bus vehicle, a specific yoga instructor, or a specific cooking station. Each item belongs to one facility and can have its own schedule.

Each item includes the fields defined by the facility type (e.g. License Plate for a bus, Chef for a cooking class).

Slots

A slot is a specific date and time when an item is available for booking. Slots have:

  • Date and Start Time
  • Capacity — how many guests can book this slot
  • Active / Inactive toggle — temporarily close a slot without deleting it

You can create slots individually or use the schedule template to auto-generate slots across multiple days at once (e.g. every Monday and Wednesday at 9:00 AM for the next 30 days).

Translations

When editing a facility, the Translations panel lets you provide translated versions of the name and description for guests who use the app in a different language.
